Create an online appointment with Zoom

Meet online with your clients using Zoom, a platform for hosting online video sessions on any device. Keep reading to learn how to:

What to expect:

Keep in mind: Video call integration is a Premium feature, so you need a Premium or Premium Plus ExpertBox subscription to connect Zoom to your workspace. Learn how to upgrade your workspace.

Create an online service with Zoom 

  1. Go to Settings > Services.

  1. Click + Add service.

  1. Add service details, such as name, category, description, and duration.
  2. Click the Available online toggle to let your team members have appointments online via your default video call provider.

  1. Complete the rest of the service and click Save.

Keep in mind: All the experts assigned to this service should have a connected Zoom account and be available Online to have appointments with Zoom. 

When clients book the service, they will receive a Zoom link in their confirmation email. 

Start your appointment 

A Zoom meeting link appears in your calendar once the client schedules or confirms the appointment. Here’s how to start your appointment when it’s time: 

  1. Go to Appointments and click on the appointment you want to join.
  2. Click Join Zoom meeting.

Your clients can join the appointment via the Client portal (if enabled) or by clicking the Zoom link in their confirmation or reminder email.

Troubleshoot Zoom Issues

Having trouble with Zoom meetings? Here are some troubleshooting steps.

Connected to the wrong Zoom account?

To connect to a different Zoom account, follow these steps:

  1. Click your workspace name in the top right corner of the screen.
  2. Select Integrations in the menu.

  1. Go to the Video call tab.
  2. Next to Zoom, click Disconnect

  1. Select Disconnect once again to confirm.
  2. Next to Zoom, click Connect. You will be redirected to the Zoom sign-in page in a new browser tab. 
  3. Log into the correct Zoom account and grant ExpertBox access to it. 

Keep in mind: This won’t change the links you’ve already created with your first account.

Missing Zoom links on your calendar?

Zoom links will only appear on your Appointments calendar after a client has booked or confirmed their appointment.

Keep in mind: Make sure you are the one providing the service, as you can’t see the video call link to someone else’s appointment. 

Zoom meetings end early?

If you’re using a Free Zoom account, all your Zoom meetings will end after 40 minutes, regardless of the duration of your ExpertBox appointment. To host longer Zoom calls, consider upgrading your account.
